Media, Filming and Interview Policy (UK)

1. Purpose of this policy
This policy explains the basis on which Million Step Foundation CIC records, produces, edits, publishes, distributes, and reuses media content featuring individuals connected with its activities, including interviewees, guests, contributors, speakers, attendees, staff, volunteers, and partner organisations.
By agreeing to be interviewed, recorded, photographed, or otherwise featured by Million Step Foundation CIC, the individual acknowledges and agrees that Million Step Foundation CIC may create and use media content in accordance with this policy and any separate release, consent form, contributor agreement, booking terms, or correspondence issued by it.
2. Ownership of recordings and productions
Unless expressly agreed otherwise in writing by Million Step Foundation CIC, all footage, audio, photographs, recordings, edits, productions, rushes, transcripts, captions, graphics, thumbnails, promotional assets, and final outputs created by or for Million Step Foundation CIC in connection with any interview, filming session, or media production shall belong exclusively to Million Step Foundation CIC or its licensors.
This includes all rights in the recording itself, the production, the edit, the compilation, the arrangement, the format, the branding, and all associated production materials.
No interviewee, contributor, guest, or featured organisation shall acquire any ownership interest in any such material solely by reason of participating in the filming, interview, recording, or production.
3. Editorial control
Million Step Foundation CIC has sole and absolute editorial discretion over whether, when, where, and how any media content is used, edited, published, exhibited, communicated, distributed, licensed, archived, repurposed, monetised, excerpted, translated, subtitled, dubbed, reformatted, cropped, combined with other material, or otherwise exploited.
Without limitation, Million Step Foundation CIC may:
- edit contributions for length, clarity, tone, legal compliance, house style, format, and audience suitability;
- use whole or partial extracts;
- combine recordings with other footage, music, graphics, voiceover, branding, subtitles, and commentary;
- publish content across websites, social media, streaming platforms, press materials, internal communications, documentaries, advertising, fundraising campaigns, educational materials, broadcast submissions, and future projects;
- use content worldwide, in perpetuity, in all media now known or later developed.
Participants have no right to dictate the final edit, headline, thumbnail, extract selection, context of publication, release timing, platform choice, distribution strategy, or subsequent reuse, unless Million Step Foundation CIC has expressly agreed otherwise in writing.
4. Consent to recording and use
Where an individual agrees to participate in an interview, filming session, or recording arranged by Million Step Foundation CIC, that individual grants Million Step Foundation CIC permission to record their image, voice, performance, appearance, statements, and contributions, and to use those materials for the purposes set out in this policy.
That permission includes the right to copy, edit, publish, communicate to the public, make available online, archive, and reuse the material.
Where required by law or where Million Step Foundation CIC considers it appropriate, it may ask for a separate written release or contributor form. Participation may be made conditional on signing that form.
5. Performers’ rights, waivers, and no royalties
To the fullest extent permitted by law, each participant:
a. consents to the recording and use of their contribution and performance by Million Step Foundation CIC;
b. grants Million Step Foundation CIC all permissions necessary for the full use of the recording and production;
c. waives, to the fullest extent legally permitted, any moral rights or equivalent rights they may have in relation to the contribution, performance, or recording;
d. agrees that they are not entitled to royalties, residuals, licence fees, repeat fees, approval rights, or other compensation arising from the recording, publication, reuse, or exploitation of the material, unless a separate written agreement signed by Million Step Foundation CIC expressly provides otherwise.
6. No approval or withdrawal rights
Unless Million Step Foundation CIC has agreed otherwise in writing, participants do not have the right to:
- approve the finished production before publication;
- require amendments, deletions, or removal of content after recording;
- withdraw permission after production has been completed or after publication has taken place;
- object to lawful editing, contextualisation, excerpting, re-versioning, or future reuse by Million Step Foundation CIC.
Any request for removal, amendment, or non-use will be considered at the organisation’s discretion only and does not create any obligation on Million Step Foundation CIC to comply.
7. Accuracy and contributor responsibility
Participants are responsible for the accuracy, legality, and propriety of their own statements and materials supplied by them.
By participating, a contributor confirms, so far as applicable, that:
- they are entitled to give the interview or contribution;
- their contribution does not knowingly infringe third-party rights;
- they have not included confidential material they are not entitled to disclose;
- they understand that Million Step Foundation CIC may rely on their contribution in producing and publishing content.
8. Organisational interviews and filming requests
Where Million Step Foundation CIC is invited to attend, film, interview, or record another organisation, event, venue, or representative, the resulting footage and production shall remain under the ownership and editorial control of Million Step Foundation CIC, unless a separate written agreement states otherwise.
The fact that filming takes place at another organisation’s premises, or that their representative is interviewed, does not give that organisation ownership, veto rights, approval rights, or rights to control future use of the resulting production unless expressly agreed in writing beforehand.
9. Privacy and data protection
Million Step Foundation CIC will process personal data obtained through filming and interviews in accordance with applicable UK data protection law and its privacy information.
Depending on the context, Million Step Foundation CIC may rely on consent, legitimate interests, journalism, or another lawful basis permitted by law for recording and use of personal data. Where consent is sought, it may be recorded in a separate form or release.
10. Children and vulnerable individuals
Additional safeguards apply where children or vulnerable individuals are involved. In such cases, Million Step Foundation CIC may require parental responsibility consent, guardian consent, capacity checks, safeguarding review, and specific release documentation before filming or publication.
11. No partnership or endorsement created
Participation in any interview, filming, or recording does not create a partnership, agency relationship, endorsement right, sponsorship right, or approval right in relation to Million Step Foundation CIC or its productions, unless expressly agreed in writing.
12. Breach and enforcement
If any participant attempts to interfere with, restrain, or impose conditions on the use of material after agreeing to participate, Million Step Foundation CIC reserves all rights and remedies available to it, including reliance on any release, consent, contractual term, waiver, and applicable intellectual property or media law protections.
13. Separate agreements prevail
If Million Step Foundation CIC enters into a specific written contributor agreement, filming agreement, media release, or licence with a participant, that specific agreement will prevail to the extent of any inconsistency with this policy.
